PRESENTER RESOURCES

Oral presenters will be given the opportunity of a 10 minute Oral Presentation and are asked to prepare a PowerPoint presentation with a maximum of 10 slides for this presentation (not including title, author and disclosure slides). All presenting oral and mini oral abstract presenters must be from an Academic Institution and not from a Pharmaceutical Industry.

Presenting authors must comply with the following guidelines: 

• Employees of ACCME defined commercial interests are prohibited from presenting educational content for Continuing Medical Education.
• Presenting author must control all content. Commercial interests may not influence scientific content by requiring the use of company slide decks or other materials. Scientific data generated by industry sponsored research is permissible.
• Content of educational activities must be well-balanced, evidence based and unbiased. Generic names should be used to the extent possible.
• Slides, abstracts and handouts, cannot contain advertising, QR codes, corporate logos, trade names or product-group messages of an ACCME-defined commercial interest
• Acknowledgments at the close of presentations should be limited to non commercial entities, e.g., education or research institutions, foundations, patients, other faculty or researchers, and should not include the names of ACCME-defined commercial interests.

General Information and Presentation Information

• After a set of 4 related abstract presentations, a discussant (keynote speaker) will provide a brief summary of the work that has been presented, commenting on the strengths and weaknesses and placing it in the context of other research/knowledge in the relevant area.
• In order for the discussant to prepare his/her presentation, the oral presenter must submit your presentation slides no later than December 11, 2020 via the online submission system (This date will not be extended. The submission link will be provided to the presenting author by end of November).
• Oral Presentation is limited to 10 minutes (no question and answer session)
• All talks will be pre-recorded and we will reach out to all presenters at the end of November to set up an appointment to schedule the pre-recordings.

Presentation Preparation

• PowerPoint presentations should have a maximum of 10 slides (not including title, author and disclosure slides)
  • Each presentation MUST include a financial disclosure slide
  • Oral presenters are strongly encouraged to use the IASLC WCLC 2020 presentation slide template: Download Template
• Your presentation must be prepared in PowerPoint2000 or any later PowerPoint Version (MS Windows)
• Set the slide size of the page to “On-screen show” and landscape orientation in the page set-up section. (Portrait orientation will not be displayed properly)
• Use high-contrast lettering, and not too much text per page (max. 10 lines or 15-20 words). Make sure you use high-contrast colors for the best definition of your text. Please be aware that red letters or lines are usually not visible
• As a general rule, you should not present more than 1 slide per minute. Visual material supports the speech and should not be the transcription of it
• The inclusion of a disclosure slide is mandatory even if you have no conflicts to declare
• Special characters: To avoid any compatibility problems, please do not use special characters (i.e. “, Ö, Ø, ñ, ?, ®, ý, }, { etc) to name your presentation or movie files

Live Day Availability

• While all presentations will be pre-recorded, we are asking presenters to be available at the time your session is broadcasted to answer questions from delegates via the session room chat.

In order to ensure your recording session runs without any technical issues, we ask that you carefully read the instructions below and follow our recommendations in regard to your technical equipment. Please don’t hesitate to reach out if you have any questions.

1. Zoom Desktop App – We will be using Zoom to pre-record your presentation – please download the desktop Zoom App (https://zoom.us/download, click “Download under “Zoom Client for Meetings”). If you have it already downloaded, please ensure that you have the most up to date version. Zoom made some great updates recently due to the increased use in 2020 (Version 5.4.6. as of December 2020). Open your Zoom App > click the icon of you (top right corner) > Check for Updates.
2. Background Image – Apply one of the below background images in your zoom account. For assistance, please visit https://support.zoom.us/hc/en-us/articles/210707503-Virtual-Background.

3. Background – If the virtual background is not working well, please remove and move forward with your true room background. Ensure it is tidied up and does not contain any compromising items of conflicting interests (ie cigars, alcohol).
4. Room Environment – If possible, we would like for you to join us for the tech check/recording in the same location you will be in for the live session.
5. Camera setup – Ensure your camera is centered and that we can see you from the chest up to a few inches over your head. Start a meeting with yourself by clicking on “New Meeting” in Zoom to optimize your camera setup.
6. Headset – We highly recommend the use of headphones with a boom microphone like the one below (USB preferred over Bluetooth).
   
7. Stopwatch - Have a stopwatch ready so you can track your presentation time to ensure you stay within your allocated time.
8. Lighting – Lighting should come from in front of you rather than from behind you. Avoid backgrounds with harsh light such as windows. If you do sit in front of a window, please close the curtains/blinds.
9. Clothes – Avoid wearing colors such as green or yellow as this will blend into the virtual background.

Here are a few tips and best practices that you may find helpful if this is your first time doing a virtual presentation.

• Record in a quiet space: Barking dogs and slamming doors are not just distracting in person, they are also distracting via Zoom! Find a quiet space to meet and shut the door. Place a ”Do Not Disturb” sign on your door so people know not to bother you.
• Look at the Camera: To mimic the in-person feeling of eye contact. Alternating between looking at the screen to gauge attendee’s reactions and looking at the camera. If your webcam is built into your computer/laptop be sure to have your slides on the same screen as your webcam to avoid looking away from the camera.
• If feasible, stand up: Helps keep things dynamic and energetic (use slide advancer instead of clicking next on the keyboard for natural experience).
• Don’t get too close: Position yourself so the camera is seeing you from the chest or waist up instead of just seeing your face.
